Position Overview
The Production Manager is responsible for ensuring the smooth and efficient flow of festival events and the key operational elements that make them possible. This role has both administrative and hands-on components that require strong organizational and interpersonal skills.
Key Responsibilities
Communications and Planning
- Serve as a central point of communication for Operations during the planning phase and during PVDFest with core planning team, temp staff, local performers, guest panelists, volunteers, craft vendor manager, and food village manager.
- Ordering, receiving and distributing all festival rental needs (golf carts, storage pods, porta potties, tables/chairs, general and miscellaneous non-durable supplies)
- Possess a clear understanding of general Festival Safety plan.
- Assist, support, and onboard the PVDFest 2026 Sanitation plan.
- Alert the operations team to any problems during the planning and implementation phase.
- Attend regular internal festival meetings (safety, operation, production, and all-hands) to maintain communication with the production team.
- Onboard and manage other production team members (including Zone managers, runners, Sanitation team crew, etc.).
- Lead orientation for festival staff, including team meetings and site walkthroughs.
- Create and distribute manuals for all weekend staff.
Administration
- Develop and oversee detailed production schedule for full Festival events.
- Oversee and keep accurate records regarding rental items & placement.
- Oversee and keep accurate records regarding operations staff placement and hours for payment
- Work within the budget set forth for operational needs and flag any potential budgeting issues.
- Produce a final report of PVDFest 2026 incorporating thoughts and summaries from production partners as well as a set of written recommendations for PVDFest 2027.
Day-Of-Event Operations
- Act as a point person ensuring all rental items are received and returned without financial penalty.
- Possess an excellent working knowledge of the Festival footprint, stage and amenities placements, and timeline.
- Ensure smooth day of operations for Sept 17th through Sept 21th.
- Manage and delegate responsibilities for weekend staff regarding production and operations logistics, set-up and breakdown, full strike.
- Perform various other related duties as assigned.
Qualifications
- Excellent time management and communication skills, oral and written in email and phone communications.
- Must be self-starting and take initiative, while remaining flexible and accommodating and must be able to interact with many different types of personalities.
- Must be able to use Microsoft, Google, and Asana.
- Must be able to lift 50lbs and stand and walk for extended periods of time.
Position Type: Independent Contractor
Rate: $10,000
Timeframe: June 1-October 1, 2026
Required Availability:
- Availability in-person, Monday through Friday, 9am-5pm, June 1 through October 1st.
- Available early morning to late evening, Sept 14th-Sept 22nd.
- Working with the entire PVDFest team to restore the City to pre-festival status by Monday Sept 21st.
- Working with the PVDFest team on final reporting and debriefing throughout September.
