Volunteer Coordinator

Position Overview

The Volunteer Coordinator plays a key role in making PVDFest happen through the recruitment, training, deployment, and overseeing of Festival volunteers. This work occurs in the months leading up to PVDFest as well as on the day of the festival and in the few weeks that follow.

The person in this role must be organized with excellent time management skills and attention to detail. Strong interpersonal skills are a must-have. Previous experience in volunteer coordination or event management is highly desirable.

Key Responsibilities

  • Develop and implement a volunteer management and recruitment plan, including the creation of graphics and materials.
  • Manage volunteer applications submitted through the online portal.
  • Maintain a database of volunteer information.
  • Match volunteers to opportunities that suit their skillsets and ensure that they understand their responsibilities and receive proper training.
  • Interview, engage, and onboard volunteers.
  • Develop and conduct comprehensive orientation sessions for all volunteers between August & September.
  • Maintain contact with the volunteers to ensure efficient communication.
  • Collaborate with other festival team members to identify specific volunteer needs for different areas and activities.
  • Schedule volunteers for shifts and ensure adequate coverage for all festival activities.
  • Attend planning PVDFest meetings as needed.
  • Coordinate day-of logistics to assist festival staff.
  • Manage volunteers during the festival on Friday, September 18th- Sunday September 20th, 2026.
  • Manage setup of info booths and materials (maps etc.)
  • Develop a system for evaluating success of Volunteer recruitment and management and produce post-festival evaluation reporting.
  • Coordinate with Festival staff to schedule and execute a post-festival appreciation party for volunteers and festival staff.

 

Qualifications:  

  • Proficiency in the Microsoft Suite (including Outlook, OneDrive, Word, Excel, etc.) and in Google applications.
  • Passion for Providence’s arts, cultural diversity, and creativity.
  • Familiarity with online workflow systems such as Asana and Dropbox.
  • Experience engaging with diverse communities.
  • Ability to manage and organize a multitude of volunteers
  • Ability to interact professionally with colleagues, external partners, and volunteers.
  • Ability to communicate effectively both orally and in writing.
  • Ability to learn quickly and be effective in a fast-paced environment
  • Excellent team-building skills.
  • Initiative, flexibility, and good humor.
  • Ability to work well under pressure and handle multiple tasks simultaneously.

 

Position Type: Independent Contractor

Rate: $3,500

Timeframe: June 1 – October 1, 2026

Anticipated Hours:

  • June: 5 days per week, virtual.
  • July: 5-10 hours weekly (consistent office hours between 9am-4pm, two days a week) Remote/part-time optional flexible.
  • August: Hybrid remote/onsite availability, three days a week, 9am-4pm.
  • September 1-11: Variable availability morning to late evening.
  • September 12-20: Full-time availability morning to late evening.
  • September 21- October 1: Work on final reporting, debriefing, and post-festival Appreciation Party.
