Artist Experience Coordinator

Position Overview

The Artist Experience Coordinator is a hybrid role combining artist support, festival operations, and content creation. This position ensures that participating artists, makers, and other activations have a smooth, well-supported festival experience while also translating festival programming into engaging pre/post-festival and on-site content for audiences.

Working closely with the PVDFest team, this role will coordinate artist logistics, manage communications with artists, capture and create digital content for social media, and support festival operations both remotely and on-site. The ideal candidate is highly organized, creative, and comfortable balancing artist-facing responsibilities with audience-facing content production.

Key Responsibilities

Artist & Maker Services (40%)

  • Serve as the primary point of contact for participating artists and makers throughout the festival process.
  • Coordinate scheduling, stage assignments, artist maker locations, and other logistics.
  • Communicate with artists to answer questions and provide guidance throughout the festival.
  • Support the PVDFest Festival Admin with contracts and information sessions.
  • Collaborate with Production Manager to create stage manager manuals and ensure smooth day-of operations.
  • Support Production Manager and weekend staff team on setup, and breakdown during festival days and strike.
  • Support post-festival documentation and final reporting, incorporating feedback from artists and festival staff.

 

Administrative & Operations Support (40%)

  • Track budget for operational needs and flag potential issues.
  • Maintain organization of contracts, documentation, and festival resources.
  • Assist with production-related tasks, including festival setup, teardown, and logistics for parades and other events.
  • Collaborate with festival staff to ensure compliance with operational and safety protocols.

 

Content Creation & Audience Engagement (20%)

  • Organize all contracted artist and activation press materials and distribute to PVDFest media teams.
  • Develop pre-festival digital content to spotlight artists and festival activations (e.g., interviews, reels, behind-the-scenes features).
  • Create “know-before-you-go” materials, sample itineraries, and other audience-facing resources.
  • Draft and schedule content for social platforms, ensuring alignment with PVDFest branding and voice.
  • Capture real-time content during the festival, highlighting performances, installations, and attendee experiences.
  • Monitor engagement and be proactive about sourcing responses to online engagement.

 

Qualifications

  • Experience in social media, digital content creation, arts administration, or cultural programming.
  • Strong storytelling skills and ability to translate festival programming into engaging content.
  • Excellent time management and communication skills—both written and oral.
  • Comfortable interacting with diverse personalities and working independently while remaining flexible.
  • Proficiency in Microsoft Office, Asana, and content creation tools (e.g., Canva, Adobe Suite).
  • Ability to lift 50 lbs, stand, and walk for extended periods.
  • Familiarity with festival environments, live event coverage, and artist relations preferred.

 

Position Type: Independent Contractor

Rate: $8,000

Timeframe: June – September 2026

Anticipated Hours:

  • June: 4 days/24 hours per week.
  • July + August: 5 days/30 hours per week. Onsite preferred.
  • Sept 7-21 full-time mornings and evenings required.

Location: Some remote work possible with required onsite presence in Providence, RI.

Required Availability: Must be available onsite September 14–20, 2026.
